Your Role as Executive Coordinator:

As an Executive Coordinator, you’ll play a crucial role in supporting the firm’s Executive Committee and senior staff in New York. This is an ideal opportunity for a proactive professional who excels in fast-paced environments and enjoys supporting high-level stakeholders in the financial or public policy sectors.

You’ll be trusted with executive scheduling, event planning, internal operations, research, and more—all while representing Patomak with professionalism and discretion.

 


Key Responsibilities:

🔹 Administrative and Executive Support
• Manage senior leadership calendars, travel, and meeting logistics
• Submit accurate expense reports and manage timesheets
• Attend select internal meetings and support key operations

 

🔹 Business Development & Research
• Research prospective clients in the financial sector
• Track outreach efforts and maintain CRM records
• Coordinate business development events and follow-up

 

🔹 Office & Facilities Management
• Maintain visitor logs, security protocols, and vendor communications
• Order and organize supplies, snacks, and office necessities
• Greet visitors and assist with daily office functions

 

🔹 Confidentiality and Professionalism
• Handle sensitive information with discretion
• Serve as a trusted point of contact for internal and external stakeholders

 


What You Need to Succeed:

Key Competencies:
• Strong time management, organization, and communication skills
• High attention to detail and comfort managing multiple priorities
• A team-player mentality with a proactive, solutions-driven approach
• Interest in financial markets or public policy is a plus
• Excellent writing and editing skills
• Proficiency in Microsoft Word, Excel, PowerPoint; basic IT skills

 

Qualifications:
• Bachelor’s degree required
• 3–8 years of relevant experience, ideally in consulting, legal, or financial services
• Experience supporting executives in a high-performance environment
